Privacy Policy
This policy explains how Wastebins.ca (operated by Wastebins Canada Inc., federally incorporated in Canada) collects, uses, retains, and protects your personal information. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws, including Quebec's Law 25.
1. Information We Collect
When you request a quote, book a rental, purchase a bin, or contact dispatch, we collect: your name, billing and delivery address, phone number, email address, the bin size and rental dates you select, and any project notes you provide. For commercial accounts we additionally collect business name, contact role, and (if you elect net-15 invoicing) basic trade references.
Payment card details are never stored on our servers. Card transactions route through Stripe (Canada) Inc. and are tokenized at the browser before reaching us. We retain only the last four digits and brand for reconciliation.
Site analytics: we use first-party cookies for session continuity and aggregate analytics. We do not load Google Analytics, Meta Pixel, or any third-party advertising trackers. Server-side logs retain IP addresses for 30 days for abuse prevention.
2. How We Use Your Information
We use your information solely to: (a) deliver the service you requested (dispatch, billing, customer service), (b) communicate about your order (delivery windows, pickup scheduling, invoice receipts), (c) operate the safety and compliance functions of our business (weight-cap notifications, prohibited-material follow-ups), and (d) where you opt-in, send occasional service emails about seasonal availability or new depot openings. You can unsubscribe from operational marketing at any time; transactional emails (order confirmations, dispatch notifications) cannot be turned off while your rental is active.
3. Data Sharing — and What We Will Never Do
We share information only with the operational vendors required to deliver service: Stripe Canada (payment processing), Twilio (SMS dispatch notifications), and our depot operators (delivery address and contact phone). Each operates under written data-processing agreements.
We never sell, rent, or trade your information to data brokers, lead-generation networks, or advertising platforms. If we are ever acquired or merged, our successor will be bound by this policy or must obtain fresh consent before any change.
4. Data Residency and Retention
Customer records are stored in Canadian data centres (primary in Montreal, backup in Toronto). Stripe payment tokens are processed under their Canadian residency option. We retain order records for 7 years to satisfy CRA tax-filing requirements, and contact information for the duration of your account plus 24 months after your last transaction. After retention periods expire, records are securely purged.
5. Your Rights
You have the right to: (a) access the personal information we hold about you, (b) request correction of inaccurate data, (c) request deletion (subject to tax-record retention obligations), (d) withdraw consent for non-essential marketing communications, and (e) lodge a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca or, for Quebec residents, the Commission d'accès à l'information.
To exercise these rights, email privacy@wastebins.ca with your account email and request type. We respond within 30 days.
6. Cookies and Tracking
We use strictly necessary first-party cookies for session continuity (cart contents, quote-flow progress) and a single first-party analytics cookie for aggregate page-view statistics. We do not use cross-site tracking cookies, advertising pixels, or third-party fingerprinting. Browser Do-Not-Track signals are honoured.
7. Changes to This Policy
Material changes will be posted here with an updated "Last updated" date and, for existing customers, emailed at least 30 days before taking effect.
